Job Description

Key Responsibilities / Duties:

  • Conducts on-going employee education by answering employee questions regarding any aspect of the Code and provide assistance to employees using the service portal and STAR.
  • Reviews personal trading pre-clearance requests to determine if the request should be approved or denied based on the Code of Ethics and Personal Trading policies and procedures and notifies employees of the status of the requests.
  • Prepare required consent letters/authorization forms for obtaining employee personal trade related transactions or statements from brokers where this is applicable. Coordinate with approved brokers to link and delink the broker accounts through electronic feeds into STAR Compliance.
  • Monitors completion of required reports from employees under the Code. This includes but is not limited to, initial/annual acknowledgement forms, brokerage account listings and initial holdings reports, quarterly transaction reports, and adhoc reports.
  • Reviews and analyzes duplicate confirmations on personal securities transactions by Covered persons and registered representatives for apparent and/or perceived conflicts of interest with client managed accounts.
  • Conducts post-trade review/monitoring to verify compliance with the Code and related procedures. Reviews and records personal securities transactions by Covered Persons.
  • Support correspondence requests from external parties. This includes identifying / reviewing requests from external parties and determining appropriate responses for such requests.
  • Reviews of cases generated in STAR for employee personal transactions to identify potential violations. Support in closure of ‘false’ cases on STAR Compliance.
  • Maintain highly sensitive files with respect to requirements under the Code of Ethics and related procedures to ensure employees’ privacy in their reporting of personal trades and corporate sensitive information.
  • Conducts investigations regarding any potential conduct that violates the Code of Ethics by any employee. Prepares reports with respect to repeat violators.
  • Also prepares letters of education to violators. Maintain Broker Dealer communication records necessary in connection with administration of the Code of Ethics and related procedures.
  • Support the new hire process which includes verifying information is accurate, issuing requirements, and following up with employees to ensure the timely completion of required certifications. Maintain various lists in STAR on a priority basis as needed.
  • Performs adhoc tasks as required.

Working Conditions:

  • Normally work hours will be 05.30 pm to 02.30 am, however hours may vary depending upon the process requirement from time to time.
  • Shall be open to work flexible hours.

Work Experience / Knowledge:

  • 5-7 years of related work experience with investment advisor, mutual fund group or any financial service industry; preferably in compliance or regulatory environment. Basic knowledge on financial products will be added advantage.
  • Experience in Code of Ethics conflict management within an equivalent investment firm will be considered as an asset.
  • Knowledge of Star Compliance system will be considered as an asset.

Skills / Other Personal Attributes Required:

  • Good written and verbal communication skills.
  • Interpersonal skills necessary to effectively communicate over the call /email with a variety of individuals at all technical levels are required.
  • Strong analytical skills.
  • Strong attention to detail.
  • Shall be a good team player.
  • Shall be open to work flexible hours.
  • Proficiency on MS Office suite of applications.
  • Open minded, flexible, and willing to listen for other people’s opinions.

Formal Education:

  • MBA or Degree in Commerce/Finance.
